Journey validation rules

The Department of Transport (DoT) validates all PTSS journeys, to ensure accurate subsidy and co-payment amounts are paid to the ODBS associated with the journey. 

There are a range of checks applied to validate PTSS journeys. Any issues with journey details captured may result in an error or rejection of the journey.

Some rules apply at the time of the journey, while others are applied when the ODBS submits their monthly PTSS journey data. Other issues may be flagged by the system, requiring DoT staff to manually review the journey details, and either approved or reject the journey. 

Journeys cannot be paid until manual reviews have been completed by DoT. Once the DoT review is complete, the outcome will show on the driver activity report.

Upfront validation rules

Upfront validation rules are applied when a PTSS journey is submitted to DoT via:

If one or more of these validation rules fails, then the journey may be rejected or sent for manual review by DoT. 

The dropdowns below describe when a journey is likely to be rejected, and when it will be sent for manual review by DoT staff, based on details captured at the time of the journey. Further validations occur when the ODBS submits monthly PTSS journey data – these rules are outlined further down the page.

Rejected

  • Participant was not valid at the time of the journey.
  • PTV authorisation was not valid at the time of the journey.
  • ODBS authorisation was not valid at the time of the journey.
  • PTD authorisation was not valid at the time of the journey.
  • ODBS did not have an active PTSS registration at the time of the journey.
  • The participant’s PTSS card was not found.
  • The expiry date of the PTSS card used on the journey does not match DoT data.
  • The PTV has other journeys with overlapping times.
  • The PTD has other journeys with overlapping times.

Review by DoT staff

  • The journey did not occur in a valid region.
  • A duplicate booking reference number has been used by this ODBS.
  • The journey start time is after the journey end time.
  • The journey is part of staged travel.
  • The participant does not match the photo on the PTSS card.
  • The PTSS card was not active at the time of the journey.

PTSS journey data submission validation rules

Further validation rules are applied to captured PTSS journeys, when the ODBS submits their monthly PTSS journey data via DoTDirect. 

The submitted data is compared to the details captured at the time of the PTSS journey. When these details do not match, the journey may be rejected or sent for manual review by DoT staff.

Rejected

  • The vehicle details do not match.
  • The PTD authorisation details do not match.
  • The pickup time does not match.
  • The drop off time does not match.

Review by DoT staff

  • The ODBS has not submitted PTSS journey data for this journey.
  • The total fare does not match.
